BridgeStation will need to be configured with inspection manager details to get the most out of the inspection sign off process. Contact the BridgeStation Support Department to arrange this.

A diagram outlining the inspection sign off process is also available: Inspection Sign off Process Diagram.

Submitting an inspection for sign off
First complete and save an inspection. At the top of the inspection proforma is an inspection sign off summary section. Here you can see the current status for the inspection and the Submit for Review button.

Assuming the inspection has not already been submitted the status should read Draft. To start the sign off process click the Submit for Review button. This will change the current status for the inspection to Submitted for review and email a notification to the designated inspection reviewer.

You can optionally leave a submission comment and send yourself a copy of the email notification. Your submission comment will appear in the email body of the email notification.

Reviewing an inspection, adding checklist comments and requesting a re-submission
The inspection reviewer's email notification will include a link to follow. This will open the inspection in question.

With the inspection form open in BridgeStation the reviewer can manage all aspects of the sign off process by clicking on the Inspection Sign off tab.

On this tab there are two more tabs, the Checklist tab for adding categorised comments to an inspection's sign off, and the Change Log tab to view time-stamped status changes to the inspection sign off.

To reject the inspection reviewer can either directly click the Update Status button, or optionally make use of the Checklist before clicking the button.

To use the Checklist, review each item and either tick the check-box or un-tick the Ok check-box. Click Save Changes to commit all of your edits.

To add a comment to an item either click on the checklist item arrow or the View/Add Comment link at the end of the grid, then click on the Add new comment link.

Complete a comment and click Update

Your checklist comment will be added. Click Save Changes to commit all of your edits.

Re-submitting an inspection
If an inspection has been rejected, then the submitter will receive an email notification with details of the structure, inspection and some notes made by the reviewer.

From here the inspector can re-open the inspection and make appropriate edits. The Checklist tab on the Inspection Sign off tab may also include reviewer comments to assist with this.

To re-submit the inspection reviewer can either directly click the Submit for Review button, or optionally make use of the Checklist before clicking the button.

Inspectors can also apply checklist comments to the Checklist before re-submitting. Click the Inspection Sign off tab.

Then click on the Checklist tab.

From here the inspector can click on the relevant checklist item and apply their own comment. To add a comment to an item either click on the checklist item arrow or the View/Add Comment link at the end of the grid, then click on the Add new comment link.

The latest comment from either reviewer or submitter/inspector will display at the top of the checklist in its collapsed form.

Accepting and locking an inspection
Once the inspection manager is happy with an inspection he can accept and lock the report. To do this the manager opens the inspection he wishes to accept, heads to the Inspection Sign off section at the top of the proforma and clicks the Accept and Lock button.

Email notifications/confirmations are again sent to the relevant parties. Inspection managers are able to unlock an inspection if needs be.
